Plan the trips logistic (+60 days in advance) Review on a daily basis the <Estatus Giras> document to be able to manage the logistic of housing & transportation per staff. If <Estatus Giras> is not ready, send an email to the Community Outreach Coordinator in charge of the trip. Send the trip invitation +60 days before the trip starting date. Update <Group Staffing> about confirmation, cancelation, decline staff information. Replace cancelled staff as needed without compromising the overall quality. (last minute cancellation Requires phone calls) Manage the <Trip Staffing> document for 3 countries: Create, update the Budget per trip based on Salesforce information.     Using the <Trip Staffing document>:  create the contracts document per staff for Costa Rica, Nicaragua & Guatemala. Send the staff contracts 15 days before the trip starting date for Costa Rica, Nicaragua & Guatemala. Send confirmation to Finance department the “advances” information 2 days before the trip starting date. Create a new <Group Staffing> document for the upcoming season, and use the NEW TRIPS emails information to update the new trips structure. (Communications) Find creative and cost-effective solutions to staffing trips that are over budget without compromising the overall quality. Consult with Directors, Finance, Communication & COC departments.  Simulate trip cost and share the information with the Directors, Finance, VSS and COC to prevent a problematic budget trip. Review the information in the Digital Evaluation post trips. Elaborate quarterly reports. Analyze recruitment needs per country (in advance) before the busy season using Salesforce.
