📋 Role Overview
Unlike a traditional year-end accountant, you will be embedded in our weekly operations. You will collect data from our operations team, manage cash flow tracking, and ensure our books are perfectly reconciled so our executive team and accountant have real-time financial clarity.
Schedule: Part-Time (approx. 15–20 hours per week to start, with potential to grow).
Location: Remote.
🛠️ Key Responsibilities
1. Accounts Receivable & Invoicing
Create, send, and follow up on client and guest invoices promptly.
Monitor incoming payments and flag any overdue accounts.
2. Payroll Support
Every Monday, pull the payroll sheets and tracking data from ConnectTeam (updated by the Operations Assistants).
Cross-check hours, calculate contractor/field-team payouts, and prepare the payroll file for approval.
3. Expense Tracking & Receipt Management
Collect, categorize, and log all business expenses and receipts weekly (using software like Hubdoc, QuickBooks, or Xero).
Follow up with team directors and field staff who forget to submit receipts for company debit cards/purchases.
4. Bank & Platform Reconciliation
Perform weekly bank reconciliations to ensure bank statements match our internal software.
Reconcile payouts from multi-channel platforms (Airbnb, Hostaway, Guesty) against actual bank deposits.
5. Accountant Liaison
Package and deliver clean, reconciled monthly financial data to our external Accountant by the 5th of every month.
Act as the primary point of contact to answer the accountant's questions regarding missing info or specific transactions.
