Hubspot Configuration for Case Management and Operational Integrations

We are seeking an experienced freelancer to configure HubSpot as a dedicated case-based operations system. This project is strictly focused on intake, routing, tracking, and resolution processes, with an emphasis on minimal automation and simplicity. This is not a marketing, sales, or RevOps CRM implementation.

Project Scope:
The project requires the setup of two distinct pipelines:
1. VIDA Navigation (Cases): For managing client cases from intake to resolution.
2. VILO Research (Opt-in only, separate pipeline): For handling research-related opt-in processes.

Properties:
Each pipeline will have a maximum of 15 operational properties. These properties will include essential fields such as status, risk tier, next action, and outcome, designed for clear operational tracking.

Workflows:
Implement 3 to 4 simple, linear workflows to streamline operations. Complex branching workflows are out of scope. Examples include:
- Intake to assignment
- Screening to results pending
- Results to navigation active
- Closed to resolved or referred

Integrations:
Establish two key integrations:
- Google Forms to HubSpot: To automatically create or update cases based on form submissions.
- Square to HubSpot: To track payment status within the case management system.
No custom development is required for these integrations.

Out of Scope:
The following items are explicitly out of scope for this project: Marketing Hub functionalities, lead scoring, email campaigns, sales funnels, dashboards/attribution, custom objects, CMS/web development work, and RevOps/revenue optimization.

Deliverables:
- Fully configured HubSpot pipelines.
- Comprehensive documentation of all configured properties and workflows.
- Functional integrations for Google Forms and Square.
- A concise handoff package including a user guide and a 10-15 minute walkthrough video.
The system must be fully operable without requiring ongoing support.

Mandatory Paid Trial:
As a first step, a paid 48-hour trial is required. During this trial, the freelancer will deliver a document (no build required) outlining the proposed pipeline stages, a detailed property list, workflow definitions, and an integration map. Successful alignment during this trial will lead to full project implementation at a fixed price.
