About the Role
We’re looking for a detail-oriented and creatively minded Freelance Photo Licensing & Creative Asset Coordinator to support large-scale educational media projects. This role combines photo rights management, creative quality assurance, and technical support. You’ll ensure that licensed photography is compliant, visually consistent, and aligned with the project’s look & feel, while also providing practical solutions when challenges arise during the photo workflow.
What You’ll Do
Administer the photo licensing workflow: rights documentation, imprint pages, credit lists, and compliance reports.
Liaise with and coordinate photo researchers: providing guidance on briefs, clarifying project needs, and ensuring outputs meet creative and compliance standards.
Track photo progress across projects.
Support asset intake and upkeep in custom DAM platform.
Support photo researchers and internal teams in daily image research, ensuring selections meet project standards.
Conduct quality assurance on photos, checking creative and technical fit.
Provide creative and technical solutions when issues arise (e.g., Suggesting edits or adjustments) and coordinate fixes across Editorial, Design, and Photo Research teams.
Assist in preparing and running photo selection meetings, ensuring all stakeholders have the right materials to make efficient decisions.
Flag risks such as compliance gaps, missing rights info, or images that don’t align with the creative direction.
What We’re Looking For
Experience in photo licensing, rights management, or asset coordination.
Strong creative judgment with the ability to assess images for style, tone, and consistency.
Working knowledge of the Adobe Creative Suite (especially Photoshop) to provide informed technical guidance.
Hands-on experience with DAM platforms (custom or enterprise preferred).
Excellent organizational and communication skills, with the ability to bridge creative and technical teams.
Comfortable managing multiple projects simultaneously with high attention to detail.
Availability to work during GMT–6 business hours, or preferably based in a nearby time zone.
Nice to Have
Experience in educational publishing or other structured content production.
Familiarity with international licensing standards.
Previous involvement in coordinating creative review or technical workflows.
Experience working with global teams
