I am looking for an experienced Airtable professional to build a custom lead management system (CRM-style) for my call center sales team.
The system will be used to enter leads, store contact details, track follow-up dates, and clearly display which leads must be contacted on a given day. It must be built to support tens of thousands of leads while remaining fast and stable.
This project does not require complex automations or integrations. It simply needs to be well-structured, scalable, organized, and easy for my team to use daily.
No real customer data will be provided. Please use sample data during development.
Project Objectives:
• Create a centralized Airtable base for all company leads
• Provide a simple daily workflow for four sales reps
• Clearly display which leads require follow-up each day
• Ensure scalability for high lead volume
• All reps should be able to view all leads
• System must be intuitive for non-technical users
Required Airtable Fields (Leads Table):
1. Instagram Handle — plain text
2. Lead Source — dropdown / single select
3. Name — plain text
4. Phone Number — plain text
5. Email — plain text
6. Service Type — dropdown / single select
7. Vehicle Year — dropdown with ability to type
8. Vehicle Make & Model — dropdown with typeahead search (typing “H” should surface Honda, etc.)
9. Follow-Up Date — date field with calendar picker
10. Notes — long text or plain text for updates and conversation details
If additional supporting fields would improve workflow or organization, recommendations are welcome.
Key Functional Requirements:
• A daily view or Airtable Interface that displays all leads where Follow-Up Date = today
• Clear visual indicator for leads due today (color, label, or other visual formatting)
• Optional indicator for overdue follow-ups
• Must be designed to efficiently handle tens of thousands of records
• Organized table, field, and view structure for long-term usability
Example workflow:
If a lead says Monday to follow up Wednesday, reps should clearly see that lead on Wednesday morning.
Technical Requirements:
• Must be built inside my Airtable account (I will invite you as a collaborator)
• Use optimized field types and filtered views to maintain performance at scale
• Apply clean naming conventions and logical structure
• User interface must be simple and easy to navigate
Deliverables:
• Completed Airtable base (and Interface, if needed)
• All required fields and functionality implemented
• Daily follow-up visibility working correctly
• Organized and logical view structure
• A recorded video walkthrough that explains:
• How to enter new leads
• How to update notes
• How to set follow-up dates
• How to find leads due today
• General usage instructions
• Removal of your Airtable access after completion, if requested

About Us:
We operate a call center with four sales representatives. The system will be used daily for outbound follow-ups and lead management.
