About the Role
We're a lean, fast-moving operations team running our business on a fully built-out Zoho ecosystem. Our CRM is the operational backbone of sales, customer success, and revenue reporting — and we need someone to own it.
This is not a support role. We're looking for someone who takes full responsibility for the health, architecture, and continuous improvement of our Zoho environment — someone who sees a gap and fills it, documents what they build, and proactively flags issues before they become problems.
You'll be consolidating work currently distributed across multiple people. The expectation is clear ownership from day one.
Responsibilities
CRM Architecture
Own module structure, layout rules, field configuration, and role/permission settings
Maintain data integrity across modules, global field governance, and picklist management
Configure user profiles and access control as the team evolves
Automations & Workflows
Build and maintain workflow rules, Deluge functions, blueprints, and approval processes
Design automation logic for lead journeys, deal stage transitions, lifecycle triggers, and internal notifications
Troubleshoot and resolve automation errors across Zoho Flow and CRM workflows
Integrations
Own active data syncs between Zoho CRM and third-party platforms (accounting, shipping, outreach tools)
Maintain and improve webhook-based integrations with communication tools
Implement and document new integrations as business needs evolve
Reporting & Dashboards
Build and maintain Zoho Analytics dashboards for sales performance, funnel tracking, activity reporting, and sequence analytics
Maintain CRM-side reports and views for sales, ops, and leadership
Support role-based home page dashboards within the CRM
Zoho Suite
Manage configuration across the broader Zoho stack: Voice, Sign, Bookings, Marketing Automation, Forms, Flow, and SalesIQ
Keep tooling aligned with how the team actually works — not just how it was originally set up
Documentation
Document all active automations, their logic, parameters, and outputs
Maintain a living record of workflows, field definitions, and integration mappings
Write clear user-facing guides for end users on CRM tools and processes
Treat documentation as part of the job, not an afterthought
What We're Looking For
Must-have
3+ years of hands-on Zoho CRM administration
Proficiency in Deluge scripting
Experience building Zoho Analytics workspaces, datasets, and dashboards
Strong grasp of CRM data architecture — modules, relationships, layout rules, global sets
Experience with Zoho Flow and cross-platform automation
Availability during EST morning hours
English fluency required
Able to manage multiple open workstreams independently and communicate status without being asked
Nice-to-have
Zoho CRM Certified Administrator or Developer
Experience with Zoho Marketing Automation (journeys, sequences, webhooks)
Background in accounting system integrations
Experience with Zoho Bookings, Sign, or Voice
Who You Are
You own things. When something is assigned to you, it gets done — and you document it, communicate it, and flag anything that blocks it. You don't wait to be followed up with.
You're methodical but practical. You design things properly, but you can move fast when needed. You push back when a request will cause downstream issues. You ask the right questions before building, not after.
You can take a business need expressed in plain language and translate it into a workflow without needing a detailed spec. You're comfortable working with non-technical stakeholders and making technical decisions independently.
