We’re looking for a detail-oriented and emotionally intelligent Virtual Bookkeeper to join our team full-time. This role is responsible for managing financial records in QuickBooks Online, assisting with payroll, updating internal sales tracking tools, and supporting day-to-day accounting tasks. You'll interact with multiple departments and must be able to juggle and prioritize incoming requests from various team members.

We provide structured onboarding through Zoom 1-on-1 sessions and Loom video walkthroughs, with regular feedback in weekly meetings or after project reviews.

Key Responsibilities: Account Reconciliation (QuickBooks Online): Reconcile all bank and credit card accounts, ensuring accuracy, completeness, and correct categorization. Corporate Credit Card Reconciliation: Reconcile 11 corporate credit cards monthly and resolve discrepancies. Profit & Loss (P&L) Oversight: Review monthly P&L reports for correct class allocations and address any data issues. Weekly Commission Entry: Accurately input weekly sales commissions into QuickBooks for payroll and reporting. Payroll Upload Support: Assist in preparing and uploading payroll data into QuickBooks Online. Sales Trend Analysis Tool Maintenance: Update and maintain our internal sales tracking tools to monitor trends and performance. Sales Scoreboard Updates: Maintain weekly and monthly sales scoreboards for internal reporting and team visibility. Financial Report Generation: Produce financial reports on request, ensuring accuracy and clarity. CRM & Excel Workflows: Support data entry, reporting, and cross-functional updates using CRM systems and Excel (SUMIFs, VLOOKUPs, pivot tables, etc.). Task Prioritization: Manage and prioritize tasks coming from multiple departments and team members, ensuring deadlines are met and communication stays clear. Additional Accounting Tasks: Support miscellaneous finance and administrative tasks as needed. Training & Feedback: Zoom 1-on-1 onboarding and Loom video SOPs provided Clear training on internal procedures and expectations Feedback after each project and during weekly meetings Qualifications: Associate’s or Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience) 2+ years of experience in bookkeeping or accounting roles QuickBooks Online proficiency is required Strong Excel skills (formulas, pivot tables, lookups) Familiarity with CRM tools or willingness to learn Excellent attention to detail and organizational skills Strong communication and interpersonal skills High emotional intelligence with the ability to collaborate across departments Ability to manage and prioritize multiple tasks from different team members Comfortable working independently in a remote environment
