We are looking for a highly organized and detail-oriented AP/Compliance Analyst for a one-month project requiring 10 hours of work, with potential for a much larger assignment. This role is crucial for maintaining financial accuracy and ensuring compliance across our operations. The ideal candidate will be responsible for daily accounts payable functions, managing compliance documentation, and providing essential administrative support to our executive team, including HR and office management tasks.

Key Responsibilities:
Accounts Payable:
Process job and overhead payables and maintain applicable files in Egnyte / Project Folders.
Set up and maintain accurate vendor information in the accounting system.
Review and process employee expense reports, including credit card expenses.
Maintain an organized accounting file system.
Assist with month and year-end closing tasks.
Obtain applicable subcontractor and supplier conditional and unconditional lien releases.
Review weekly check run for compliance requirements and prepare for mail distribution.
Review AP aging report weekly.
Generate conditional and unconditional waiver templates for project teams.
Answer subcontractor inquiries regarding payments.
Record weekly and monthly EFT payments in the accounting system.
Indexing of financial documents in Paperless.
Provide ad-hoc finance reporting.

Compliance:
Maintain Vendor W9s on file and for year-end.
Maintain preliminary notice log.
Maintain subcontractor compliance log and follow-up with subcontractors as necessary.
File and review subcontractor lien waivers.
Provide ad-hoc compliance reporting.

Additional Support:
Support executive assistant needs for the Co-owner / coo / cfo.
Assist with various HR and Office Management tasks.

Required Experience & Skills:
Proficiency in project accounting platforms (e.g., Sage 300 CRE, Sage Paperless Office) is mandatory.
Strong attention to detail, excellent communication skills, and superior organizational abilities.
Proven capacity to quickly learn and adapt to new applications and programs.
