We are a growing Seattle-area residential remodeling company specializing in walk-in showers, tub-to-shower conversions, and bathroom remodeling. We are looking for a highly capable, organized, and proactive Project Coordinator based in Latin America to work directly with the owner and sales team.

This is not a basic virtual assistant role. We need someone who can take ownership, communicate professionally with U.S. Customers and vendors, solve problems independently, and keep projects moving without constant supervision.

The role will begin part-time at approximately 5–10 hours per week, with the opportunity to grow as our sales volume increases.

Responsibilities

You will help manage projects from the sales appointment through ordering, installation, and completion. Tasks may include:

• Preparing detailed customer estimates and proposals
• Turning measurements, photos, sales notes, and job information into professional project documents
• Creating realistic shower and bathroom design concepts using AI image tools
• Revising estimates and designs quickly when customers request changes
• Following up with prospects after sales appointments
• Communicating directly with customers throughout the project
• Coordinating contracts, deposits, financing information, and documentation
• Creating material and purchasing checklists
• Ordering shower wall systems, bases, glass doors, plumbing fixtures, hardware, and other materials
• Communicating with manufacturers, suppliers, contractors, and installers
• Confirming materials are correct and will arrive before installation
• Helping coordinate installation schedules
• Tracking projects from sale through completion
• Keeping our CRM and project records current
• Identifying missing information and problems before they cause delays
• Helping improve our internal processes

Event Coordination

We also participate in home shows, fairs, expos, and other events. You will help with:

• Researching potential events
• Registrations and deadlines
• Booth requirements and vendor paperwork
• Insurance certificates
• Electrical, internet, signage, furniture, and other booth needs
• Staffing and schedules
• Following up with event organizers
• Making sure important deadlines are not missed

What We Are Looking For

We prefer candidates with 2+ years of experience in project coordination, project management, construction, estimating, remodeling, architecture, engineering, interior design, or a related field.

You should have:

• Excellent written and spoken English
• Strong business math and attention to detail
• Professional customer and vendor communication skills
• Strong organization and ability to manage several deadlines at once
• Ability to work independently and make good decisions
• Strong computer skills and ability to learn new software quickly
• Some availability overlapping U.S. Pacific Time business hours

Experience with CRMs, Google Workspace, spreadsheets, estimating software, project-management tools, Canva, Photoshop, or similar systems is a plus.

AI Skills Are Important

We use AI extensively. You should be comfortable using tools such as ChatGPT, Claude, Gemini, and AI image-generation or editing tools.

You may use AI to create shower concepts, prepare customer presentations, draft estimates and proposals, organize project information, research products and suppliers, draft customer/vendor communications, and improve internal workflows.

We want someone who uses AI as a serious productivity tool.

The Type of Person We Want

We want someone who naturally asks: “What needs to happen next?”

If an installation is coming up and a material has not arrived, we expect you to notice. If an estimate is missing information, we expect you to ask. If a customer is waiting for a revision, we expect you to follow through. If a vendor has not confirmed an order, we expect you to follow up.

This role requires speed, ownership, judgment, and reliability. Our customers are often deciding whether to spend $10,000–$25,000+ on a remodeling project, so estimates, designs, revisions, and customer questions sometimes need fast turnaround.

Schedule and Compensation

Approximately 5–10 hours per week initially.

The schedule can be flexible to a reasonable degree, but some overlap with U.S. Pacific Time business hours is required.

Starting rate: $8 USD/hour.

This will begin as a paid trial. For the right person, there is significant potential for more hours, increased responsibility, and higher compensation as our project volume grows.
