Position Summary
We’re looking for a detail-oriented and proactive Maintenance Coordinator to oversee the scheduling, communication, and quality control of our ongoing service projects. You’ll be the operational backbone of our facilities team, ensuring that all client sites are maintained to the highest standards and that our field technicians are supported with the tools, information, and structure they need to succeed.

This is a key role in delivering the premium experience our clients expect—and in helping our cities stay greener, healthier, and more beautiful.

Key Responsibilities
Schedule & Dispatch: Coordinate daily, weekly, and monthly maintenance schedules for our technicians across multiple client sites.

Client Communication: Serve as the first point of contact for maintenance-related client inquiries, ensuring fast, clear, and professional responses.

Work Order Management: Monitor open service tickets, track completion, and follow up on outstanding tasks using project management and CRM tools.

Quality Assurance: Review technician reports, photos, and checklists to ensure work meets internal standards. Escalate issues as needed.

Inventory Support: Track supplies and equipment used in the field, and assist in ordering replacement materials to avoid service interruptions.

Reporting: Maintain accurate records of service visits, plant health ratings, and infrastructure conditions across all projects.

Team Coordination: Communicate daily with the facilities team, ensuring clarity on routes, responsibilities, and priorities.

Process Optimization: Identify ways to improve maintenance workflows, reduce response times, and improve communication across teams.

Qualifications
2+ years of experience in operations coordination, facilities management, or a similar role

Strong organizational and multitasking skills

Excellent written and verbal communication

Comfort using tools like Google Workspace, Asana, HubSpot (or similar CRMs), and Slack

Ability to remain calm under pressure and juggle competing priorities

A keen eye for detail and a passion for quality work

Experience in horticulture, landscaping, or green infrastructure is a plus, but not required
