Operations Manager: Systematize & Optimize Remote Workflows for The Tantra Institute Max project

Our signature event, Tantra Speed Date®, has introduced tens of thousands to a new way of relating. But that’s just the beginning. We also run workshops, retreats, and online programs for people seeking meaningful, embodied transformation. We’re expanding—and our backend needs to scale with us.

Role Summary:

As Operations Manager, you’ll be the connective tissue of our organization. You’ll own the creation, documentation, and continual improvement of standard operating procedures (SOPs) across all departments—from marketing and sales to events, tech, and team workflows. You’ll work closely with the CEO and department leads to bring structure to vision, reduce inefficiencies, and ensure consistent high-quality execution at scale.
This is not an event management role (our Tantra Speed Date® team handles that). Instead, you’ll focus on building sustainable systems, tools, automations, and documentation that support the smooth functioning of all programs, events, and internal operations.

Key Responsibilities:

- Optimize existing SOPs
- Develop, implement, and maintain SOPs across all areas of the organization
- Systematize and document workflows for marketing, admin, customer service, event logistics, facilitator onboarding, and more
- Coordinate internal projects and cross-functional initiatives to keep the team aligned and on track
- Optimize and manage tech platforms including:
- ClickUp (project management)
- Go High Level (CRM, funnels, automations)
- Mailchimp (email marketing, automations)
- Eventbrite (ticketing)
- Google Suite (docs, sheets, drive, calendar)
- Slack (team communication)
- Introduce and implement AI tools and automation (e.g., ChatGPT, Zapier, native integrations) to reduce manual workload
- Identify inefficiencies and recommend scalable solutions
- Support leadership with reporting, metrics tracking, and special projects

Who You Are:

- 3+ years experience in operations, systems management, or project coordination
- A process builder who thrives on clarity, structure, and making chaos manageable
- Experienced in creating SOPs and scalable workflows across diverse functions
- A strong communicator who can turn complex, cross-functional tasks into clear, actionable plans
- Someone who is agile and can quickly pivot as business initiatives change
- Comfortable navigating and optimizing multiple tech tools and platforms
- Naturally proactive, detail-oriented, and solution-focused

Role Details:

- Full-time, remote position (40 hours/week)
- Flexible hours with availability for team meetings (generally in EST)

Starting Salary: $1,000-$1,200/month
