We are a fast-growing general contracting business looking for a highly organized, detail-oriented, and proactive Remote Office Manager to help manage our daily operations. What You’ll Do
✅ Respond to Leads (Email & Text Only) – Engage with potential clients via written communication. (No phone calls required for now, but role may expand to include them.)
✅ Schedule In-Person Estimates – Coordinate appointments for our team to visit job sites.
✅ Prepare Estimates & Invoices – Use our system to put together clear, professional estimates and invoices for clients.
✅ Follow Up & Close Jobs – Maintain communication with leads, ensuring they book our services.
✅ Manage Scheduling – Keep track of our team’s availability and schedule job estimates & installations.
✅ Follow Up for Payments & Reviews – Ensure clients submit payments on time and request customer feedback.
✅ Oversee Multiple Communication Channels – Manage emails, texts, and internal scheduling tools efficiently.
Who You Are
🔹 Excellent Written English Skills – You’ll primarily communicate via email and text. Using grammar/spell-checking tools is fine.
🔹 Highly Organized & Detail-Oriented – You can handle multiple tasks without missing a beat.
🔹 Tech-Savvy – Comfortable using scheduling, invoicing, and communication tools.
🔹 Proactive & Resourceful – You take initiative and solve problems independently.
🔹 Experience in Customer Service or Admin Support – Prior experience in a construction, home services, or contracting business is a plus!
Hours & Training Period
✔ Part-Time to Start – The role will begin part-time during training and onboarding.
✔ Full-Time Transition – Once trained and fully onboarded, the role will become full-time.
✔ Pacific Standard Time (PST) – Slightly flexible start time between 9 am – 11 am pst.
Requirements
✔ Fluent in written English
✔ Reliable internet connection & own computer
✔ Experience with CRM, scheduling, invoicing, or project management tools (or willingness to learn)
✔ Available during U.S. business hours (PST time zone)
