We are seeking a highly organized and proactive Virtual Assistant to provide comprehensive personal and executive support to a busy entrepreneur with a dynamic lifestyle and multiple business ventures. This is a part-time remote position, approximately 20 hours per week, with potential for growth into a full-time role. Some availability during Pacific Time hours is required for seamless coordination.
Key Responsibilities:
Admin & Calendar Management: Efficiently manage email inboxes and complex calendars, prioritize communications, schedule meetings, and ensure all deadlines are tracked.
Travel Coordination: Handle all aspects of travel planning, including booking flights, accommodations, and ground transportation. Manage itinerary changes and keep travel details updated.
Financial Administration: Organize receipts, meticulously track expenses using Google Sheets or Microsoft Excel, and maintain accurate financial records. Proficiency with formulas, pivot tables, and filters is essential. Coordinate effectively with external accountants and bookkeepers.
Personal Task Management: Conduct research for various needs, manage ordering processes, coordinate shipments and returns, select and send gifts, and arrange for various personal services.
Home Support: Oversee household and vendor-related needs, including tracking maintenance schedules and managing supply inventories.
Lifestyle Management: Schedule personal appointments such as fitness, wellness, and dining reservations. Implement and manage daily routines and provide timely reminders.
Digital Support: Assist with organizing digital content, formatting professional communications, and performing light social media management tasks.
Ideal Candidate Profile:
Exceptional written and spoken English communication skills, demonstrating clarity and professionalism.
Advanced proficiency in Google Sheets and Microsoft Excel, including the use of pivot tables, formulas, formatting, and data validation.
Previous experience in bookkeeping, financial administration, or reporting is a significant advantage.
Highly organized, responsive, and reliable, with a strong commitment to maintaining confidentiality.
Self-motivated, tech-savvy, and possesses excellent problem-solving abilities.
Familiarity with productivity and collaboration tools such as Asana, Slack, and Google Drive is a plus.
Availability for brief check-ins at 10 am and 6 pm pst (or mutually agreed-upon times) is preferred.
