Quickbooks Online Restructuring and Optimization for Food & Agriculture Business

We are a food and agriculture business currently using QuickBooks Online and require expert assistance to restructure and optimize our system. The goal is to achieve a clean, structured system that provides clear business insights and supports growth, moving beyond basic bookkeeping to enable better decision-making.

Our current QuickBooks Online setup has several challenges:

Products & Services List Issues:
*  Duplicate items: Same products listed under different names.
*  Inconsistent naming conventions.
*  Lack of clear categorization, making it difficult to track performance for key products like hot sauces or polpa.

Our business operates in two main areas:
*  Trading: Fresh products bought and resold, primarily for cash flow and customer relationships.
*  Chicoxana Foods: Our core products, including hot sauces, frozen items, polpas, and other processed foods.

We need support with the following key areas:

1.  Cleaning and Standardizing the Products & Services List:
    *  Remove duplicate entries.
    *  Merge identical products listed under different names.
    *  Apply a consistent and logical naming convention across all items.

2.  Structuring Products into Clear Categories:
    *  Establish distinct categories for 'Chicoxana Foods' (core products).
    *  Create a category for 'Trading' (fresh products).
    *  Implement a 'Value-added' category for items like pre-cut produce or special packs.

3.  Setting Up a Proper Product Structure:
    *  Ensure each unique product corresponds to a single item in QuickBooks.
    *  Enable the ability to accurately track total performance for each individual product.

4.  Implementing Flexible Pricing Logic:
    *  Configure the system to allow for different pricing tiers for the same product (e.g., Individual customer price, retailer price, bulk price) without creating duplicate product entries.

5.  Fixing Cost Tracking:
    *  Ensure that the Cost of Goods Sold (COGS) is accurately set and tracked for all products.
    *  Enable clear visibility of profit margins per product.

6.  Creating Simple and Useful Reports:
    *  Develop custom reports for sales by product group (e.g., Total hot sauce sales).
    *  Generate reports to differentiate revenue between 'Core' (Chicoxana Foods) and 'Trading' activities.
    *  Create reports to identify top-performing products.
    *  Provide profitability reports by product.
