About the Role:
We’re hiring a proactive, organized, and tech-savvy Executive Virtual Assistant to help manage email, calendars, task systems, travel, and communications across multiple platforms.

You’ll Be Responsible For:
    •    Triaging email, Slack, WhatsApp, and iMessage to filter important info, assign tasks, and create follow-ups
    •    Managing and updating Google Calendars and travel itineraries
    •    Handling customer service calls, appointment booking, and vendor communication
    •    Transcribing and organizing team meeting notes and voice memos into task/action dashboards (based on GTD) using chatGPT, Claude AI, or other tools to increase efficiency and accuracy
    •    Coordinating events (venue booking, sponsor outreach, attendee comms)
    •    Maintaining simple spreadsheets (google sheets) and updating agendas (google drive)

We’ll Get Along Great If You:
    •    Have excellent written and verbal English
    •    Can write professional emails on my behalf with minimal edits
    •    Are reliable, detail-oriented, and fast to respond during normal working hours (PST)
    •    Understand the Getting Things Done (GTD) or similar task-management methodology
    •    Have experience using tools like Gmail, Google Calendar, Slack, WhatsApp, Loom, Google Drive, and google sheets (excel) (or can learn quickly)

Hours & Pay:
    •    ~$10/hour
    •    ~8–10 hours/week (some flexibility, but availability during PST daytime preferred)

I’m an entrepreneur and chiropractor running multiple businesses while also raising a young family. I operate in a fast-paced, high-output environment where clarity, flow, and presence are essential. I need a reliable, detail-oriented assistant to help me stay organized, manage communications, and free up my time and mental energy to focus on high-leverage decisions and leadership. This role is about more than completing tasks — it’s about creating calm from chaos, keeping important things from slipping through the cracks, and helping translate ideas into structured action steps. I use the Getting Things Done (GTD) method to manage projects and would love someone who can plug into that style of working. The assistant will help me manage emails, calendars, communication threads, task lists, events, and scheduling across my businesses and personal life. I want someone I can build trust with over time who can act as my “second brain” and help me show up as my best self professionally and personally.
