Executive & Finance Assistant (Remote)

We are looking for an exceptional Executive & Finance Assistant to join our team and provide direct support to the CEO of an international business group with companies in the United States, Estonia, and Spain.

This role combines executive assistance, financial administration, and personal assistance. No two days are the same, so we're looking for someone who enjoys variety, takes initiative, and loves solving problems.

- Location

Latin America only.
Colombia preferred due to time zone compatibility with Miami.

- What You Will Do

As the CEO's right hand, you will support the day-to-day financial, administrative, executive, and personal operations of the business.

Your responsibilities will include:

* Managing the CEO's calendar and scheduling.
* Coordinating with banks, accountants, legal advisors, insurance companies, and external vendors.
* Making phone calls in English when needed.
* Following up on payments, invoices, financial documentation, and banking matters.
* Managing bank accounts and assisting with financial administration.
* Organizing documents and maintaining accurate records.
* Scheduling personal and business appointments.
* Managing online purchases, Amazon returns, exchanges, and deliveries.
* Booking travel, accommodations, restaurants, and transportation when needed.
* Researching products, services, suppliers, and vendors.
* Coordinating with contractors and service providers.
* Handling executive, administrative, and personal tasks as they arise.
* Tracking ongoing projects and ensuring every task is completed from start to finish.

We're looking for someone who doesn't wait to be told what to do—you naturally anticipate needs, take ownership, follow up consistently, and make sure nothing falls through the cracks.

- Required Qualifications

* Excellent English skills (spoken and written). The interview will be conducted entirely in English.
* Previous experience as an Executive Assistant, Administrative Assistant, Personal Assistant, Finance Assistant, or in a similar role.
* Experience with administrative and/or accounting tasks.
* Availability to work in a time zone compatible with Miami (maximum 1–2 hours difference preferred).
* Outstanding organizational skills and exceptional attention to detail.
* Strong problem-solving abilities and a proactive mindset.
* Ability to manage confidential information with professionalism.

-  Important

This position involves making frequent phone calls to banks, insurance companies, accountants, government agencies, service providers, and vendors.

If you are not comfortable speaking on the phone regularly, this position is probably not the right fit.

The interview will be conducted entirely in English.

- Preferred Qualifications

Experience in any of the following is highly valued:

* Supporting international companies.
* U.S. Bookkeeping or accounting.
* QuickBooks or similar accounting software.
* Online banking and financial administration.
* Learning new software and internal processes quickly.
* Working independently with minimal supervision.
* Experience supporting entrepreneurs or CEOs.
