Role Overview:
We are seeking a highly organized and proactive Virtual Assistant to provide comprehensive administrative and operational support to Michael Anthony, the Vice President of Lensbaby. This role requires exceptional English communication skills, a solutions-oriented mindset, and the ability to anticipate needs in a fast-paced environment.
The Virtual Assistant will play a key role in managing schedules, communications, and operational tasks, ensuring the VP's time and efforts are optimized for maximum productivity.
Key Responsibilities:
Administrative Support:
Manage the VP’s calendar, schedule meetings, and prioritize engagements.
Coordinate domestic and international travel arrangements, including flights, hotels, and transportation.
Prepare meeting agendas, take detailed notes, and ensure follow-up on action items.
Draft, proofread, and send emails or communications on behalf of the VP.
Project Coordination:
Track project progress, deadlines, and deliverables.
Assist in organizing and managing tasks across teams to support VP-led initiatives.
Maintain and organize digital files, documents, and reports for easy access.
Communication Management:
Serve as the primary point of contact for internal and external communications on behalf of the VP.
Screen and prioritize emails, messages, and requests, responding appropriately when needed.
Maintain confidentiality and handle sensitive information with discretion.
Operational Tasks:
Monitor and manage administrative tasks such as vendor communications, contracts, and expense tracking.
Conduct research and provide insights to support business decisions.
Support planning and execution of special events or team-building activities.
Qualifications and Skills:
Experience: 2-3+ years as a Virtual Assistant, Administrative Assistant, or in a similar role supporting senior-level executives.
Education: A college degree is not required, but relevant experience and skills are essential.
Language Skills: Expert-level written and verbal English communication is required.
Skills:
Proficiency in tools like Google Workspace, Microsoft Office, and project management platforms (e.g., Asana,
Monday.com).
Must know and understand the EOS System
Exceptional organizational skills with a strong attention to detail.
Ability to handle multiple priorities with flexibility and efficiency.
