Are you a builder who thrives in chaos, loves creating systems from scratch, and enjoys turning big ideas into actionable results?
We are a fast-growing, vision-driven company helping students achieve their dreams through group and 1:1 tutoring services. As we scale, we’re looking for an Operations Project Manager to act as the operational backbone of our business.
This is a contractor role where you will work directly with the CEO as their biggest supporter, stepping into multiple hats like Project Manager, Operations Coordinator, and Executive Assistant. You’ll take charge of projects, streamline operations, and execute day-to-day tasks to bring order and efficiency to our growing company.
We need someone who is not only strategic and proactive but also over-communicative—you’ll keep everyone in the loop and make sure nothing falls through the cracks. Proficiency with spreadsheets is a must—you should be comfortable analyzing data, creating reports, and building tools to improve decision-making.

Key Responsibilities
1. Project Management
• Plan, execute, and oversee projects from start to finish.
• Track timelines, manage deliverables, and ensure team accountability.
• Implement and optimize project management tools to organize workflows.
2. Operations Oversight
• Build and refine systems to streamline daily operations.
• Address operational inefficiencies and drive team performance.
• Coordinate team meetings, manage priorities, and track progress.
3. Administrative Support
• Act as an extension of the CEO by handling high-priority tasks.
• Oversee content publishing workflows, customer support systems, and other business processes.
• Provide clear reporting to the CEO on KPIs, project updates, and team performance.
4. Execution and Problem Solving
• Dive into day-to-day tasks when needed to move projects forward.
• Step into multiple roles (e.g., Sales support, admin tasks, system setups) as required.
• Solve problems creatively and proactively with minimal direction.
5. Spreadsheet Proficiency
• Build and manage spreadsheets for tracking, reporting, and decision-making.
• Analyze data to inform operational improvements.
• Create tools and templates to improve efficiency.
6. Over-Communicate
• Keep the CEO and team informed at all times.
• Anticipate questions or concerns and proactively provide updates.
• Ensure nothing slips through the cracks by maintaining clear, constant communication.

What You Bring
• Experience: At least 2 years in similar roles (e.g., Operations, Project Management, or Executive Assistant with operational experience). Startup experience is a plus.
• Tools: Familiarity with project management software (Asana, ClickUp, or similar), Slack, Google Workspace, Zapier, ActiveCampaign, and advanced spreadsheet skills.
• Time Zone: Must have significant overlap with North American (EST) working hours.
• Language: Fluent in English (written and spoken).
