The Administrative Assistant will provide daily operational and coordination support to ensure smooth execution across adet it solutions’ government and private business development activities. This role is ideal for someone highly organized, tech-savvy, and detail-oriented who can manage multiple workflows—CRM updates, scheduling, documentation, and weekly reporting—within a fast-paced, remote environment.

Key Responsibilities:

Communication & Scheduling: Manage shared inboxes, respond to emails, and schedule internal and client meetings.

Documentation & File Management: Organize proposal folders, maintain updated templates, and ensure version control in Google Drive or OneDrive.

CRM & Data Entry: Input and update contact details, opportunities, and outreach records. Maintain data accuracy across both Gov and Private BD pipelines.

Reporting & Dashboards: Prepare weekly progress reports (bids, outreach, proposals, meetings).

Support for Bids & Proposals: Assist with formatting, proofreading, and assembling submission packages.

Tracking & Compliance: Monitor deadlines for proposals, certifications, renewals, and ensure timely updates.

Team Coordination: Record meeting minutes, follow up on action items, and assist in onboarding new remote members.

Qualifications:

2+ years of experience in administrative or project support roles.

Strong organizational and multitasking abilities.

Excellent written and verbal communication skills.

Proficiency in Google Workspace, Asana, CRM tools (HubSpot, Airtable, or Zoho).

Ability to handle confidential information with discretion.

Preferred Skills:

Familiarity with proposal formatting, document naming conventions, and compliance tracking.

Experience supporting government contracting or B2B teams.

Attention to detail with a proactive, “get-it-done” mindset.
