I’m the owner of three growing companies and I’m looking for a reliable, sharp Remote Administrative Assistant to help keep daily operations organized and moving.
You’ll work directly with me to support administrative tasks across my businesses and also handle administrative support related to my executive day-to-day (e.g., Coordinating paperwork, organizing records, and preparing information for third parties like accounting).
Responsibilities
• Inbox support: organize messages, flag priorities, draft replies (final approval may be required)
• Calendar management: schedule meetings, send invites, reminders, and confirmations
• Client follow-ups: track conversations, send follow-ups, confirm next steps
• Document support: create and organize files, templates, checklists, and SOPs (Google Drive/Docs)
• Data entry and CRM updates (contacts, notes, pipeline updates, task status)
• Project coordination: keep tasks moving, track deadlines, and report updates
• Research and coordination: basic vendor research, pricing research, booking support, etc.
• Records + admin coordination: organize receipts/invoices, compile summaries, and prepare materials to share with vendors or accounting (no bookkeeping required unless agreed)
Tools
• Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
• Project management tools (Asana / Notion or similar)
• Basic CRM experience (HighLevel or similar is a plus)
• Slack / WhatsApp communication (professional and clear)
• Bonus: automation tools (Zapier, Make) — not required
Requirements
• Excellent Spanish and English writing and communication (must)
• Highly organized, proactive, and detail-oriented
• Strong follow-through: you don’t drop balls
• Able to handle sensitive business information professionally
• Self-starter: can work with minimal supervision and ask smart questions when needed
• Availability to overlap at least a few hours with Atlantic Time (Puerto Rico / AST)
Nice-to-Haves
• Experience supporting entrepreneurs/agency owners
• Experience working across multiple brands/companies
• Familiarity with content production workflows, marketing ops, or client onboarding
Work Type
• Remote
• Part-time to start (10–20 hrs/week), with potential to grow
• Ongoing role (not a one-time gig)
