Core Responsibilities Client Service Support Manage client communication and correspondence Schedule and coordinate client meetings, reviews, and follow-ups Process client paperwork and maintain digital filing systems Send welcome packages and educational materials to new clients Monitor and respond to client inquiries within established timeframes Calendar and Email Management Maintain an organized calendar system for client meetings and internal appointments Screen and prioritize emails Draft routine correspondence and follow-up messages Send meeting reminders and confirmation emails to clients Coordinate with other team members for scheduling purposes Document Preparation and Management Prepare client review materials and financial planning documents Format and proofread financial reports and presentations Maintain organized digital filing systems for client documents Ensure all client files are complete and up-to-date Assist with compliance documentation and record-keeping Administrative Tasks Handle data entry and database management Update client information in CRM systems Generate routine reports and analytics Process paperwork for account openings, transfers, and updates Maintain office supplies and technological resources inventory Marketing Support Assist with social media management and content scheduling Help prepare newsletters and client communications Maintain marketing calendars and campaign schedules Track marketing metrics and prepare performance reports Support webinar and event coordination Required Skills and Qualifications Technical Proficiency Advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) Experience with CRM systems and financial planning software Proficiency in virtual meeting platforms (Zoom, Teams) Ability to learn new software applications quickly Strong data entry and database management skills Professional Capabilities Excellent written and verbal communication skills Strong organizational and time management abilities Detail-oriented with high accuracy standards Self-motivated with ability to work independently Professional discretion and confidentiality Industry Knowledge Basic understanding of financial services industry Familiarity with financial terminology Knowledge of compliance requirements in financial services Understanding of client service best practices Awareness of data security and privacy requirements Working Hours and Availability Full-time position (40 hours per week) Core working hours aligned with financial markets (9:00 am - 5:00 pm est) occasional flexibility required for urgent matters or special projects reliable internet connection and dedicated home office space required performance metrics response time to client inquiries accuracy in document preparation meeting preparation effectiveness calendar management efficiency client satisfaction feedback task completion rates data entry accuracy compliance with deadlines professional development ongoing training in financial software and tools regular updates on industry compliance requirements skill development in client service and communication access to relevant webinars and online courses participation in team meetings and training sessions reporting structure reports directly to the financial advisor coordinates with other team members as needed regular performance reviews and feedback sessions clear communication channels for questions and support technology requirements modern computer with updated operating system high-speed internet connection backup internet solution webcam and quality headset for virtual meetings mobile device for emergency accessibility security software and protocols compliance confidentiality and security strict adherence to client confidentiality agreements compliance with data protection regulations secure handling of sensitive financial information regular security training and updates understanding of privacy best practices this position offers an excellent opportunity for a detail-oriented professional to support a financial advisor while developing valuable industry experience.
