We are seeking a highly organized and proactive Bilingual (English and Spanish) Virtual Administrative Assistant to manage our essential back-office operations remotely. This is a critical role that requires a professional capable of handling diverse responsibilities in a fast-paced, field-based business environment. The successful candidate will work directly with the owner and management team.

Key responsibilities include:

Managing financial processes: Assisting with invoicing (Quickbooks), expense tracking, and basic bookkeeping tasks.
Overseeing city permitting workflow: Coordinating and tracking necessary permits, ensuring timely submissions and follow-ups.
Handling client communications: Managing incoming and outgoing correspondence, scheduling appointments, and providing excellent customer service in both English and Spanish.
Executing document management: Organizing, filing, and maintaining digital and physical documents efficiently.

Bilingual fluency in English and Spanish, both spoken and written, is an absolute requirement for this position. You will be expected to communicate effectively with clients, vendors, and city offices in both languages to ensure smooth operations and clear understanding.
