We are seeking a highly organized and proactive individual to join our team as an Operations Coordinator / Executive Assistant. In this role, you will play a crucial part in ensuring smooth operations, managing multiple projects, and providing administrative support to the business owner.
Key Responsibilities:
Project Management:
Oversee and track progress on multiple projects to ensure deadlines are met.
Create and maintain project schedules, workflows, and task lists.
Follow up with team members to ensure deliverables are completed.
Organization and Workflow Optimization:
Develop systems and processes to improve company organization and efficiency.
Maintain files, documents, and records in an easily accessible format.
Help prioritize tasks and manage the owner's calendar.
Administrative Support:
Schedule meetings, appointments, and calls.
Handle correspondence, including emails and phone calls.
Prepare reports, presentations, and other documents as needed.
Operational Support:
Assist with day-to-day operations of the company.
Coordinate with vendors, clients, and team members.
Provide support for events, campaigns, and special projects.
Problem-Solving and Adaptability:
Anticipate potential challenges and provide solutions.
Be flexible and handle last-minute changes or urgent tasks.
Qualifications:
Proven experience in a similar role (e.g., Operations Coordinator, Executive Assistant, Project Manager).
Exceptional organizational and time-management skills.
Strong communication and interpersonal abilities.
Proficiency in tools like Google Workspace, Microsoft Office, and project management software (e.g., Asana).
Preferred Skills:
Experience in small business operations.
Experience in high level executive assistant.
Familiarity with the industry or services offered by the company.
