Procurement, Vendor & Subcontractor Operations Coordinator
Location: Remote (Colombia).
Company: PMB Property Improvements — Licensed Florida Residential Construction Firm.
Role Type: Full-Time, Long-Term.
Schedule: Monday–Friday, U.S. Eastern Time.
Language Requirement: Fluent English + Spanish.
Compensation: USD $1,000–$2,100/month after training.
Start Date: Immediate.

about the role
this is a hybrid operational role combining:

* procurement and purchasing.
* Vendor and wholesaler relationship management.
* Subcontractor coordination.
* Florida construction compliance.
* Project operations support.
* Document control and communication management.

You will function as the primary connection point between vendors, wholesalers, subcontractors, operations, and leadership. Your work will directly influence project timelines, cost control, and overall compliance.

key responsibilities

1. Procurement and Materials Management

* Source and purchase materials required for Florida residential renovation projects.
* Request, evaluate, and compare quotes from wholesalers and suppliers.
* Negotiate pricing, delivery terms, and availability.
* Track purchase orders, backorders, and deliveries.
* Ensure materials meet Florida Building Code requirements, including wind or hurricane ratings, fire ratings, and plumbing or electrical specifications.
* Maintain accurate vendor, pricing, and product databases.

2. Subcontractor Coordination and Florida Compliance

* Vet subcontractor qualifications and prior experience.
* Verify Florida licenses using DBPR and applicable county systems.
* Collect and track COIs, W-9s, worker’s comp exemptions, and related documents.
* Maintain clean, organized compliance files for all subcontractors.
* Manage subcontractor schedules, availability, and trade alignment.
* Communicate scopes, timelines, material requirements, and job details.
* Track subcontractor performance, responsiveness, and reliability.

3. Wholesaler and Vendor Relationship Management

* Build and maintain strong relationships with distributors, manufacturers, and wholesalers.
* Develop and maintain a preferred vendor list by trade and product category.
* Coordinate returns, exchanges, bulk orders, and delivery arrangements.
* Stay updated on inventory availability, pricing changes, and product updates.
* Ensure all vendor deliveries meet project deadlines and jobsite requirements.

4. Project Operations Support

* Assist with permit documentation, submittals, revisions, and follow-ups.
* Track permitting requirements, inspection results, and revision notes.
* Prepare code-compliant job packets and material lists.
* Maintain organized Google Drive project folders and documentation.
* Follow up with subcontractors for updates, progress, and completion notes.
* Provide daily or weekly operational updates to leadership.

5. Compliance, Documentation, and Legal Requirements

* Track lien releases, payment documentation, and NTO-related files.
* Ensure subcontractors meet all Notice to Owner and Florida lien law requirements.
* Maintain audit-ready project folders to protect the company’s contractor license.
* Track expiration dates for licenses, insurance, and compliance documentation.

Training Period
Paid training (4–8 weeks based on experience).
Fixed training compensation.
Focus on learning:

Post-Training Compensation
Upon successful completion of training:
USD $1,000–$2,100 per month.
Compensation is based on experience, performance, accuracy, speed, and overall contribution.
