Every 25th of the Month: Send invoice to client (Gelly).

Every Friday:

Check and record installment settlements.

Double-check payments from Payex/Ezbeli and deduct transaction fees.

Verify Free Trial accounts and set up sub-accounts for new clients.

Update the master client list accordingly.

End of Each Month: Compile and update campaign performance results.

One Month Before a 3-Day Class:

Review deposit status for all students.

Notify students to prepare remaining balance before class starts.

Two Weeks Before a 3-Day Class:

Send reminders and follow up according to the SOP.

๐Ÿ“Š Client Renewal Management
Every 1st of the Month (or during free time):

Check for renewals from old customers.

Update the master list and ensure actions align with the standard operating procedures (SOPs).

๐Ÿ“ง Daily Responsibilities
Monitor email accounts with the following checklist:

Always select "All Mail" (not just Inbox) to avoid missing messages.

Check for any emails related to Stripe, Payex, or Ezbeli.

Cross-check payment details with ๅฐ็บขไนฆ or Infinitesales customer records.

Review the Spam folder for overlooked emails.

Do not click unknown links. If unsure, consult KK first.

Inform KK about any requests requiring company details or form submissions.

โœ… Qualifications & Skills
Proven experience as a Virtual Assistant or in a similar administrative role.

Familiarity with payment platforms (Stripe will be added advantage)

Comfortable managing digital records and financial transactions.

Strong email management and communication skills.

Detail-oriented, trustworthy, and capable of working independently.

Basic Chinese language proficiency is a plus
