We are seeking an experienced Operations and Quality Assurance Admin to oversee our quality control processes, manage our Kommo CRM platform, and lead project management initiatives. This position is critical to ensuring the efficiency of our operations, adherence to quality standards, and optimization of our platforms. Candidates with a background in coding are highly preferred to assist in automating and customizing workflows. This is a full-time, remote position with a competitive monthly salary.

Key Responsibilities
1. Event Planning & Representation

Plan and Organize Events: Coordinate Camp Embark events, ensuring alignment with our mission and value delivery.
Represent Camp Embark: Act as the face of the organization at events to promote the company, build relationships, and attract campers and partners.
2. Staff Documentation & Communication

Company Updates: Share gig opportunities for events and appearances with seasonal staff via WhatsApp for timely communication.
Staff Documentation:
Prepare and maintain all required staff documents using PDF Filler.
Organize staff records and ensure accuracy.
Set up and manage staff profiles in Square.
3. Quality Control Duties

Adherence to Guidelines: Ensure consistency with camp standards and monitor camper and staff satisfaction.
Pre-Camp Quality Checks: Update handbooks, slides, and weekly emails for clarity and accuracy.
Ongoing Quality Assurance: Track quality concerns and document activities in a daily journal for transparency.
End-of-Season Review: Conduct quality assessments, gather feedback, and create end-of-season reports with highlights and recommendations.
4. Parent Communication

Pre-Camp:
Respond to parent messages via WhatsApp, Wix, and email within 12 hours.
Ensure parents complete registration and payment plans.
Update handbooks, guides, and orientation materials.
During Registration:
Ensure all documents are submitted, correct errors, and distribute camper folders.
Create and share activity calendars and menus.
5. Platform Management & Optimization

Kommo CRM Management: Manage and optimize the Kommo platform to enhance functionality and user experience.
Automation Workflow Optimization:
Implement and customize automation workflows to improve efficiency and data accuracy.
Use coding knowledge to support advanced automation and platform customization.
Project Management:
Lead projects from start to finish, meeting timelines and budget constraints.
Utilize tools like Asana, Trello, or Monday.com to track progress.
Qualifications
Experience

Minimum of 3 years in operations management, quality assurance, and project management.
Proven experience managing CRM platforms, preferably Kommo (formerly AmoCRM).
Skills

Technical Skills:
Coding experience to support platform automation and customization.
Proficiency with project management tools (e.g., Asana, Trello, Monday.com).
Operations and QA:
Strong project management, organizational, and analytical skills.
Knowledge of quality control methodologies and best practices.
Interpersonal Skills: Exceptional communication, attention to detail, and alignment with Camp Embark’s core values.
